THE OPPORTUNITY:
Reporting to the Pilgangoora Site Administration Supervisor you will play an integral part in the day-to-day administration support for the site operations, ensuring work flow processes and systems are accurate and timely to assist in a smooth, efficient administration service to the operating mine.
KEY RESPONSIBILITIES:
- Provide administration support in all areas to support the process and systems of the mining operation.
- Ensure accurate and on time completion of delegated tasks from the Site Administration Supervisor to support the functions within the Administration team
- Distribute site notices and maintain site notice register
- Event Planning of onsite Social Events, Entertainment nights, ANZAC Day, Remembrance Day, Australia Day, etc., arrange site entry, posters and communications, catering
- Coordinate Site Visits, VIP guests, arrange site entry, agenda’s, catering, PPE.
- Escalating and directing calls or requests for information to relevant areas
- Arrange all site light & heavy vehicle servicing and oversee vehicle allocation and management
- Liaise with internal and external stakeholders on all administration matters
- Timely and accurate daily/weekly/monthly reporting and data entry of RO Sheets, Cleanaway, LV odometer readings and HV machine hours
- Procurement activities including raising purchase requisitions, receipting and invoice reconciliation in Pronto
- Updating and collation of site registers and archiving
- Ordering and maintaining site stationery requirements and site photocopiers
- Arrange catering and site crib orders as required
- Maintain site crib/kitchen and meeting rooms
- Point of contact for LMS Online Induction queries for new Messer, troubleshooting issues
- Support Site Travel Admin when required by: assisting with site entries, including the onboarding of new employee and contractor mobilisations to site. This includes but not limited to: - create client profiles in Tramada, Corporate Travel Management (CTM) and INX InFlight programs, book flights in CTM Lightning on-line program, book accommodation, create and maintain site rosters, book site specific inductions, prepare bus and flight manifests, arrange IT access and manage DIDO travel/rosters
- Maintain and update employment records in INX InFlight program, if required
- Performing INX InFlight end of month tasks and roll over of site rosters
- Support Shutdown Mobilisation and crew inductions
- Other ad hoc duties as required
- Support the Mining Administration team as required
ABOUT YOU:
- Current C class driver’s license.
- Certificate IV in Business, Administration, or a related area.
- High efficiency using the full Microsoft Office suite
- Efficiency using INX InFlight program
- Previous experience in asset and fleet management
- Strong administration background
- Ability to meet deadlines and timeframes
- Ability to work in a busy environment and under pressure
- Positive and friendly manner in supporting employees, contractors, and visitors at all levels
- Respecting privacy and confidentiality in dealing with employee matters and information.
- Strong interpersonal and communication skills
- A team player and willing to work autonomously
- Flexible approach and attitude
- Ability to multitask and manage work output with constant interruptions.
- A willingness and enthusiasm to embrace new task and training opportunities to support the responsibilities of this position and the smooth operation of the mine.
