The opportunity
Reporting to the Purchasing Lead, the Purchasing Officer fundamentally support daily site operations by ensuring timely & cost-effective procurement of goods & materials as required. This is achieved through expediting purchase orders, sourcing materials, coordinating freight, managing P2P processes, and maintaining strong stakeholder and vendor relationships.
This is a permanent full-time role which operates on a 8/6 FIFO roster from Perth or DIDO in the Pilbara region.
Key responsibilities
Procurement
- Source and procure goods, materials, and services in line with operational requirements and company policies.
- Convert and manage purchase orders using ERP systems (e.g. Pronto), confirming status with suppliers to ensure timely delivery.
- Generate bi-weekly Inventory Reorder report and thoroughly review to eliminate any discrepancies.
- Maintain accurate procurement records and report on purchasing performance, cost savings, and supplier performance.
- Assist with daily management of critical reagents & fuel requirements to site, ensuring orders are placed as required.
- Assist end users with preparation of request for quotations (RFQ) for procurement of goods
Expediting
- Respond to urgent expediting requests effectively, providing end-to-end tracking to stakeholders.
- Coordinate expediting of materials required for Plant Shutdowns; providing results to planners & coordinators as required
- Manage Rotables sent offsite for repairs through track and tracing.
- Investigate and resolve invoicing variances or issues in collaboration with Warehouse & Inventory teams.
- Report on overdue purchase orders and follow up with suppliers ensuring ETA details are regularly updated and all issues communicated to relevant stakeholders.
Supplier Management
- Maintain strong relationships with existing suppliers and resolve or escalate any issues / disputes.
- Source and compare between suppliers to ensure quality, cost-effectiveness, and reliability.
HSE (General)
- Adhere to all Site Procedures and Safe Work Instructions for each task.
- Ensure all Hazardous / Dangerous Goods are sourced in accordance with Site Procedures
- Participate in prestart meetings, safety toolboxes, departmental improvements and initiatives.
Communication
- Maintain effective relationships and communication with stakeholders; this includes contractors, commercial partners, and departments.
- Ensuring all communications utilising email, handheld radio, phone, MS Teams are conducted in a respectful and professional manner
- Be open and honest; demonstrating trust & integrity in all interactions
- Ensure open communication with the Company’s operations and / or maintenance teams aimed at ensuring possible delays to deliveries are communicated to the end user and escalate if required.
- Attend / chair meetings with key stakeholders as required.
- Communicate regularly with Warehouse team to assist in effectively planning unloading operations
Team
- Understand the role you are fulfilling, the expectations of yourself from your supervisor and relevant key performance indicators for your role.
- Mentoring and training site personnel in the use of Pronto and raising requisitions as needed.
- Participate in all training and development opportunities.
- Assist in training new Purchasing staff as required
Costs
- Contribute to process improvements and cost-reduction initiatives within the procurement function.
- Stay informed about market trends, new products, and industry developments.
About you
- Current WA Driver’s License
- Demonstrated experience in adhering to the purchasing policies, procedures and standards
- Proficiency in Microsoft Office suite and similar ERP systems
- Ability to work effectively in a dynamic team environment.
