The opportunity

Reporting to the Manager Maintenance and Engineering, this role will provide comprehensive administrative support to ensure the effective functioning of site operations. This role is responsible for maintaining administrative systems, coordinating operational activities, managing reporting requirements, and supporting the Maintenance team with procurement, invoicing and logistical support. The Maintenance Administrator works closely with internal stakeholders, contractors, and visitors to ensure processes run smoothly and all administrative requirements are delivered accurately and on time.

This is a permanent full-time role which operates on a 4:3 or 4:3, 4:3, 8:6 FIFO roster from Perth or DIDO in the Pilbara region.

Key responsibilities

Administrative Support & Coordination

  • Provide administration support across all areas of the Maintenance Team to ensure efficient processes and system adherence.
  • Complete delegated tasks from the senior maintenance leadership team executed work accurately and within required timeframes.
  • Liaise with internal and external stakeholders on all administration‑related matters.
  • Support the Site Administration team and Mobilisation Team as required.
  • Provide administration support for meetings including meeting minutes and presentation creation.

Site Communications & Notices

  • Effectively prepare site notices for pre-starts.
  • Prepare communications and assist in delivering site‑wide updates and information.

Event Planning & Site Engagement

  • Plan and assist with onsite social events and commemorative activities including ANZAC Day, Remembrance Day, Australia Day, entertainment nights, and other social events.
  • Arrange event logistics including site entry, posters, communications, catering, and equipment.
  • Coordinate site visits and VIP guest attendance, including site entry, agendas, PPE allocation, and catering.

Data Entry, Reporting & Registers

  • Complete timely and accurate daily, weekly, and monthly reporting.
  • Update, collate, and archive site registers in accordance with document control requirements.
  • Update and format-controlled documents including SWIs, SWMS and MWIs and liaise directly with the control documents team.

Procurement & Financial Administration

  • Perform procurement activities including raising purchase requisitions, receipting, and invoice reconciliation in Pronto.
  • Maintain stationery levels, manage photocopier servicing, and support site resource requirements.
  • Liaise directly with maintenance vendors and PLS accounts teams

Catering & Facility Support

  • Arrange catering and crib orders as required.
  • Maintain site crib/kitchen areas and ensure meeting rooms are kept clean, organised, and appropriately stocked.

Travel & Mobilisation Support

  • Support Site Travel Administration as needed, including:
  • Assisting with site entry processes for new employees and contractor mobilisations.
  • Booking accommodation and maintaining site rosters.
  • Arranging IT access requirements for maintenance personnel.
  • Maintain and update employment records in INX InFlight as required.
  • Support shutdown mobilisation and crew induction processes.

Other Responsibilities

  • Provide general administrative assistance during leave coverage across site administration functions.
  • Perform other ad hoc duties as required to support site maintenance team.

About you

  • Current C class driver’s license.
  • High efficiency using the full Microsoft Office suite specifically EXCEL
  • Previous experience using Pronto or similar CMMS
  • Minimum of 2-year experience within a site administration role.
  • Excellent customer service skills
  • General understanding of Fixed Plant Maintenance or similar industry
  • Strong administration background
  • Ability to meet deadlines and timeframes
  • Ability to work in a busy environment and under pressure
  • Positive and friendly manner in supporting employees, contractors, and visitors at all levels
  • Respecting privacy and confidentiality in dealing with employee matters and information.
  • Strong interpersonal and communication skills
  • A team player and willing to work autonomously
  • Flexible approach and attitude
  • Ability to multitask and manage work output with constant interruptions.
  • A willingness and enthusiasm to embrace new tasks and training opportunities to support the responsibilities of this position and the smooth operation of the mine.
